Simply log in to your account and click on the Apps option at the top menu to access the full library. Select the workflow you wish to use and click Install. If you need to customize a workflow to fit your company’s unique requirements, you can edit the workflow or create your own business app from scratch. The first step to building your KiSSFLOW business app is to design the form. Forms collect the information you need to process a request, such as requester’s name, department, file attachments, and the like. Using the drag-and-drop editor, you can add, move, or delete fields from the form. Once your form is done, you’ll need to define the workflow in order to process the request. Workflows are a set number of repeatable tasks that will determine if the request is approved or if it needs further clarification. For example, you can create one-by-one sequences where a task is dependent on its predecessor’s completion. You can then assign deadlines and authorized users to approval and input tasks. If a workflow has certain conditions based on the data provided, you can create parallel workflows instead where the request passes through two or more branches or paths before approval. If your workflow requires more steps and conditions and becomes difficult to build, you can sketch your workflow on a piece of paper first before designing it on KiSSFLOW. All users by default have permissions to your live apps. However, you may want to restrict an app or certain tasks within the workflow to a specific individual or group of people. You can easily change each task’s permissions before hitting Publish. Publishing an app brings it to the Your Apps section where you can view, duplicate, and manage all of your live apps.Approvals, input requests, and clarifications are handled in the My Tasks section of your KiSSFLOW Home tab. These are tasks that need to be completed for the workflow to reach approval. Input requests require you to add or edit information, while clarifications are questions you need to reply to. If the request meets all of the requirements, the approval task lets you ask for clarification, approve or reject the request. While processing these tasks, you’ll see task details such as the last person who acted on the task, the task’s deadline, and a light that indicates if you’re nearing or have gone past the deadline. At the end of the day, app admins can click on the Reports tab to view analytics for your items, overall user workload, and your workflows. These reports allow you to make sound decisions to improve your business operations, whether that’s scraping an outdated app or improving an existing workflow. Apart from viewing these reports, you can act on tasks that somehow get stuck in the workflow. For instance, you can delete, nudge, or reassign tasks to other users when necessary. If you need a copy of these reports, you can print or export the report in CSV format. Simple and repetitive processes may seem harmless at first glance, but the amount of time taken away to do these tasks becomes a costly expense for your business. By putting your business processes on auto-pilot, KiSSFLOW gives you and your team more bandwidth for tasks that matter the most to the business.
