To be completed by the operations manager - a site visit, along with a review of inventory levels, grain movement, and documentation will be conducted.
What does this form include?
This form contains 5 sections:
Security - Grain Storage
- Grain bins are locked and proper confined space signage is present
- Access ladders are locked if they are not in use.
Grain - Housekeeping
- Grain has been cleaned up around receiving outs, bin doors, conveyors. No spoiled grain is present.
- Rodent traps are present and in working condition. No sign of dead rodents, birds, or insects in drain or bins.
- Scales are cleaned and no debris is accumulating under platforms.
Grain - Inventory
- Inventory records are retained and up to date, including count sheets, measurements, commodity, and inventory schematic
- Physical calculations are verified as accurate. Compare with system for variation. Justification of variance or quality issues. Has variance changed from last month?
- Verify bin status. Full, bottoms, cleaned, commodity matches inventory.
Grain - Quality
- Observe - smell test the operations of the aeration fans.
- Check temperature cable records/program (where applicable) for proper storage temperature, ie: no hot spots.
- Check out turns for downgrades, ccfm, moisture, vom, etc. Ticket comparison report.
Grain - RecordsReview documentation and make a visual assessment
- All employees who work the scale house have completed grain grading training.
- Probing of loads and sample retention:Inbound loads - samples are retained until the load is accepted.Outbound loads - samples are retained until out-turns are verified, samples are labeled with ticket number, and are stored chronologically (date range).
- Scale logs - all pertinent information is recorded (ticket number, commodity, grade, weights, etc).
- Aeration logs - all pertinent information is recorded.
- Heat cable logs - all pertinent information is recorded.
- Bin history records - all pertinent information is recorded.
- Dryer logs - all pertinent information is recorded.
- Maintenance logs - all pertinent information is recorded.
